Committee Chair Roles & Responsibilities

Annual Meeting Committee

 Objectives:

  • Act as liaison between the MdHIMA and vendors participating in the Annual Meetings.

  • Arrange vendor tables.

  • Produce the MdHIMA Annual Meeting.

  • Organize interesting speakers, coordinate the facility involvement, arrange vendor tables and involvement in activities, and provide activities for the members.

  • Stay within the budget, but provide a stylish annual meeting.

Arrangements Committee

Objectives:

  • Work with the Education Committee in securing appropriate facilities and accommodations for three Quarterly Business Meetings.

  • Communicate to the members of the Association the topics and costs for the educational programs.

Behavioral Health Group

Objectives:

  • Hold monthly meetings to discuss issues related to Behavioral Health.

  • Conduct one half-day workshop focused on behavioral health issues.

  • Strengthen and expand liaison relationships with agencies, and other professional associations and organizations involved in the behavioral health community.

Bylaws Committee

Objectives:

  • To insure that the MdHIMA’s bylaws are consistent and follow the AHIMA bylaws.

  • To recommend bylaw changes when required.

Correctional Health Group

Objectives:

  • Hold monthly meetings to discuss issues related to medical records in the correctional health community.

  • Conduct one half-day workshop focused on correctional health issues.

  • Strengthen and expand liaison relationships with agencies, and other professional associations and organizations involved in the correctional health community.

Credentials Committee

Objective:

  • Maintain the computerized membership roster of the Maryland Health Information Management Association.

  • Produce address labels and other mailing materials.

  • Count ballots.

  • Report statistics.

  • Update and produce the Membership Roster Booklets

Data Quality/Case Mix Committee

Objectives:

  • Hold monthly meetings to discuss updates regarding changes effecting data quality and case mix strategies.

  • Provide educational coding programs to the members.

  • As nationally approved Standard Code Sets become law as part of the HIPAA legislation, it is imperative that Health Information Management Professionals take the lead in this important change in the data collection environment.

  • Educate the payer community in Maryland about the existence of national coding guidelines.

  • Develop meetings with Delmarva and state payers to discuss quality issues.

Education Committee

Objectives:

  • Develop educational programs and speakers for the educational sessions of the three Quarterly Business Meetings.

  • Monitor educational topics, assuring that all of the required areas of continuing education are covered.

  • Line up speakers and be a liaison between them and the Association prior to the meetings and during the presentations.

Finance Committee

Objectives:

  • Evaluate income and expenses against the mission of MdHIMA to determine if the needs of the organization are being met.

  • Prepare Budget for next year

  • Committee members include – President, President Elect (Finance Chair), Treasurer, Former Treasurer, others who may sign up

  • Assure financial responsibility and accountability to the membership through auditing, review, and reporting mechanisms.

  • Further automate and streamline the budget and accounting processes.

  • Continue to review and clarify financial policies and procedures, including the way MdHIMA handles contracts and submit findings and recommendations to the board for approval.

  • Assure the preparation and filing of the Association's income tax and personal property tax forms – work closely with the Treasurer.

  • Make recommendations for use of funds, CDs, etc.

Fundraising Committee

Objectives:

  • Develop ideas in order to raise funds to subsidize Association needs.

  • Develop and implement fund-raising initiatives.

  • Use research and information to educate MdHIMA's members about the importance of fund-raising for a non-profit association.

  • Continue to promote and support current fundraising programs such as the Silent Auction held in conjunction with the Annual Meeting.

Legislative Committee 

Objectives:

  • Maintain the MdHIMA's web site regarding legislative/regulatory issues.

  • Report on current legislative issues affecting MdHIMA's membership

Long Term Care/Consulting Group

Objectives:

  • Hold monthly meetings to discuss issues related to medical record consulting.

  • Provide a speaker and topic for QBM related to Long Term Care

  • Maintain a Consultant's Registry.

  • Strengthen and expand liaison relationships with agencies, and other professional associations and organizations.

Newsletter Editor

Objectives:

  • Develop an electronic newsletter, which will serve as a communication vehicle, designed to inform and educate Maryland's Health Information Management professionals, as well as other interested parties. 

  • Publish articles and information otherwise not available to the membership, or not published in other sources readily available to MdHIMA members.

  • The membership is encouraged to submit articles for publication.

  • To seek advertisement from vendors who will partially subsidize electronic publication of the MdHIMA Newsletter – work closely with Job Bank and Website Committee.

Nominating Committee

Objectives:

  • Recruit a slate of candidates for positions on MdHIMA's Executive Board.  Get final ballot to printer.

  • Recruitment should begin no later than the December QBM. (can be started earlier.

  • In even numbered years ballots should be out to be membership no later than 30 days before the Annual Meeting

  • Present candidates to the membership.  Election of nominee shall be by mail ballots of the active members in good standing. (Credentials Committee will provide this list)

  • The ballot shall constitute the annual report to the Committee.  Any recommendations of the Nominating Committee shall be made to the Executive Board.

Policy and Procedure Revision Task Force

Objectives:

  • To periodically review and revise the policies and procedures of MDHIMA.

Public Relations, Marketing & Recruitment Committee

Objectives:

  • Promote the health information management profession and MdHIMA through marketing, recognition of members' accomplishments, issuance of press releases to local media, and by seeking member participation in National Health Information Management Week.

  • Promote recruitment of dynamic individuals into the Health Information Management profession by providing valuable information concerning career opportunities, educational requirements, non-traditional paths, and the future direction of the profession.

Resident Agent

Objective:

  • Maintain a long-term repository for MdHIMA paperwork.

Web Site Committee

Objectives:

  • Maintain a web site for MdHIMA.

  • Coordinate a computer-focused educational session.

  • Enlist the assistance of other committee chairs.

  • Develop vendor participation on the web site.
