The Release of Information Analyst will be responsible for processing all release of medical records requests from sources such as patients, insurance companies, healthcare providers, attorneys, and other third parties in a timely and efficient manner while providing quality customer service. In addition, the Release of Information Analyst will be responsible for validating that all release of information requests are in compliance with hospital policy, state, and HIPAA/HITECH regulations.
Reviews each request for information to determine urgency and assures that urgent requests are completed first using established priority systems. Evaluate the adequacy of each completed authorization form to ensure it meets HIPAA requirements and is completed correctly. Accurately enters requests in electronic health record release system for processing by release of information vendor.
Meets established turnaround times for all categories of requests maintaining an overall average turnaround time of seven days for hardcopy requests and three days or less for electronic copies. Monitors outstanding requests for information and ensures timely follow-up utilizing available resources.
Responds to walk-ins and phone requests in a caring and professional manner; provides complete information (including costs involved) to obtain medical records and handles emergent requests with minimal wait time.
Reviews and follows through on all incoming telephone calls from patients, other healthcare providers, attorneys, and insurance representatives regarding medical record requests. Works independently to complete each request and escalates requests to the HIM manager only when necessary.
Demonstrates ability to work professionally, effectively, and efficiently in a team environment with coworkers and management.
Demonstrates ability to navigate efficiently through the paper and electronic medical record to identify requested information.
Maintains organized work area; ensures all forms, files, supplies, equipment, and work in process are readily accessible by authorized staff.
- Minimum of one year health information management experience in an electronic health record environment or RHIT/RHIA eligible required.
- Medical terminology and knowledge of Microsoft Excel (import, export, graphs, pivot tables), Word and Outlook is preferred.
- Familiarity with EPIC as well as previous data entry experience is preferred.
- Previous experience in release of information activities, customer communication, and regulatory requirements related to privacy and security preferred.
High School Diploma or GED
